Privacy Policy
Version 2026-10-12 · effective October 11, 2026
These beta policies were prepared from legal and regulatory research and have not been reviewed or approved by an attorney.
Robotutor is a product and service operated by Weller Precision Industries LLC. Weller Precision Industries LLC provides the service and is responsible for the account and learner data described here.
What we collect
Account and acceptance data
Username, email address, display name, authentication state, OAuth identifiers when used, and the policy IDs, versions, server timestamp, and credential-signup provenance needed to evidence account acceptance.
Learning data
Practice subjects, answers, feedback, session history, intake preferences, progress, and concept-review signals.
Uploaded documents
Resumes, transcripts, certificates, or portfolio files you choose to upload. We keep the file name and extracted text used to estimate prior knowledge; the uploaded file itself is not stored.
Service diagnostics
Basic device, browser, request, error, and performance information used to protect accounts and keep the service reliable. On our web pages this includes page-view and page-load measurements from Cloudflare Web Analytics, such as the page visited without its query string, the referring page, browser and device type, and approximate country. We use them only to measure how the site is used and how fast it loads, not to identify you or to follow you across other websites. We also use HeyCatch, a product analytics service, to see how people use Robotutor so we can improve it. HeyCatch records the pages you view, when you leave a page, and the buttons and links you click, together with your IP address, browser and device information, and an identifier stored in your browser. It does not record the text of what you click or anything you type, so your questions, answers and other entries are not sent to it. When you choose a multiple-choice answer, it records only the answer's position, such as “3 of 4”. When you are signed in, HeyCatch receives your internal Robotutor account ID. It also receives your email address and name, but only if Google or Facebook has confirmed that you are 18 or older; it never receives them for anyone under 18 or for accounts without that confirmation. When an account is created, our server tells HeyCatch that a sign-up was completed and whether it used a password or Google or Facebook. We do not use HeyCatch for advertising.
Support messages
Messages you send to support, including the email address and context needed to answer your request.
Optional profile details
If you choose to add them: your birth date (only the parts you enter), how Robotutor should refer to you, the city and region you study from, the curriculum region suggested from it, and your time zone. Each one is optional, is used only for the purpose shown next to it, and can be changed or deleted in Account settings at any time. We never store location coordinates. Your pronoun choice, but not your name, is included in the grading instructions sent to our AI providers.
Phone number (optional)

Where information comes from
We receive information directly from you, automatically from your use of the service, and from providers you choose to connect, such as Google OAuth. We may derive progress, mastery, and review signals from your learning activity. We do not buy data-broker profiles about learners.
Google user data
If you choose Sign in with Google, Google shares your name, email address, whether that email address is verified, profile picture, and Google account ID with Robotutor. We request only Google's basic sign-in scopes (openid, email, and profile). We do not request access to Gmail, Google Drive, Calendar, Contacts, or any other Google service or data.
We use Google user data only to create your Robotutor account or sign you in to it, link the Google login to that account, show who is signed in, and protect the account from misuse. We do not use Google user data for advertising, to build advertising or marketing profiles, to train AI models, or for any purpose unrelated to signing in.
We do not sell Google user data. We do not transfer it to anyone except the hosting and database providers that store your account for us, when you direct us to, or when reasonably necessary to comply with law or protect security. People at Weller Precision Industries LLC do not read it except with your permission, to handle a support request you make, for security, or to comply with law.
Google user data is kept with your account record and protected by the safeguards described in this policy. It is kept while your account exists and is removed when you delete your account from Account settings. You can also revoke Robotutor's access at any time from the third-party connections page of your Google Account.
Robotutor's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Facebook user data
If you choose Continue with Facebook, we ask Facebook for six permissions: public_profile (your name, profile picture and Facebook user ID), email (your email address), user_age_range (your age range), user_birthday (your birthday), user_gender (your gender) and user_location (the city on your Facebook profile). You can decline any of them except public_profile on Facebook's screen. We do not request your friends, posts, photos, pages, messages or any other Facebook data.
We use your name, profile picture, email address and Facebook user ID only to create your Robotutor account or sign you in to it, link the Facebook login to that account, and show who is signed in. Your age range is used only at sign-in to confirm you are 18 or older, and it is never stored. Your birthday confirms the same 18+ rule more precisely. In onboarding we show your birthday, a pronoun suggestion based on your gender, and your city as answers you can keep, change or clear: your birth date confirms you are 18 or older, your pronoun choice sets how Robotutor's tutor refers to you in feedback, and your city suggests an exam system for new tracks and the time zone for your review due dates. We do not use Facebook data for advertising, to build advertising or marketing profiles, or to train AI models.
We do not sell Facebook data. We do not transfer it to anyone except the hosting and database providers that store your account for us, when you direct us to, or when reasonably necessary to comply with law or protect security. Your age range, birthday, gender and location are read from Facebook only when they are needed, and only the answers you choose to keep are stored with your profile.
Your name, profile picture, email address and Facebook user ID are kept with your account record while your account exists. Your age range is never stored. Your birthday, gender-based pronoun choice and location are stored only if you keep them as profile answers, and you can edit or delete them in Account settings at any time. Everything is removed when you delete your account. You can also remove Robotutor from Facebook at any time in Facebook's Settings and privacy, Settings, Apps and websites, which stops Facebook sharing new data with us.

How we use it
- Run the practice loop, resume sessions, and personalize follow-up questions.
- Authenticate accounts, record required signup acceptance, and protect the service from abuse.
- Debug errors, measure reliability, and improve question quality.
- Respond to support, deletion, export, and account requests.
Improving Robotutor with learning records
Unless you turn it off, we may use learning records to train, evaluate, and improve Robotutor's own teaching and grading models, for example to write clearer questions and explanations, grade answers more accurately, and schedule review better. A learning record is your practice answers, how each answer was graded, the feedback you received, your tutor conversations, and how you worked through each task. Training uses only copies from which detectable personal details have been automatically removed, never raw text, server logs, or backups. Your account details and any data we receive from Google or Facebook sign-in are not part of it.
Learning records go only into models that Weller Precision Industries LLC controls. Outside AI providers never train on them, and we do not sell learning records or share them with anyone for their own model training.
This use is on by default. You can turn it off at any time in Account settings with the switch “Use your learning record to improve Robotutor,” and turn it back on the same way. Turning it off does not change how Robotutor works for you: we still keep your learning record to grade your work, schedule review, and show your progress. Your record is left out of any training we start after you turn it off, and turning it back on includes it only in training that starts after that. Where the law requires a legal basis, such as in the European Economic Area and the United Kingdom, we rely on our legitimate interest in improving the service, and the switch is your right to object at any time.
Learning records used for training follow the retention rules in this policy. If you delete your account, your records are left out of any later training, and the training data we keep is purged of them or irreversibly de-identified.
When we disclose information
We disclose information to service providers only for functions such as hosting, authentication, payment processing, AI generation, speech, email, support, security, error monitoring, and product analytics; when you direct us to; or when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or complete a corporate transaction. We do not sell personal information or share it for cross-context behavioral advertising.
AI, voice, and service providers
We may use hosting and database providers; LLM providers for questions, feedback, grading, and analysis of text you submit; speech providers when you choose voice transcription or playback; Google OAuth when enabled; email and text-message providers to send account email and the text messages you ask for; Sentry for error monitoring; Cloudflare for hosting, security, and Cloudflare Web Analytics; and HeyCatch for product analytics. HeyCatch stores analytics data with its provider PostHog in the United States and may use AI model providers to analyze it. Voice audio or transcripts are sent to the configured provider when cloud voice processing is used. We do not sell learner data.
How long we keep information
We keep account and learning information while your account is active and as needed to provide the service. Retention after that is limited to what is reasonably necessary for security, fraud prevention, support, dispute resolution, and legal obligations. The period depends on the information, its purpose, sensitivity, and applicable requirements. Account deletion removes the data identified below; backup and security copies may persist for a limited period before routine deletion or overwrite. Some periods are fixed: error reports and session replays in Sentry are deleted after 30 days, and Cloudflare Web Analytics keeps raw page-view data for 7 days, then keeps a sample of about 10% for 6 months. HeyCatch keeps analytics data while we use its service and deletes it or makes it permanently anonymous within 2 months after we stop; its database backups are kept for about 7 days.
Security and processing locations
We use administrative, technical, and organizational safeguards appropriate to the information we handle, but no system is completely secure. Weller Precision Industries LLC and its providers may process information in the United States and other countries where they operate, subject to applicable safeguards. HeyCatch processes analytics data in the United States. For people in the European Economic Area, the United Kingdom, and Switzerland, that transfer relies on the European Commission's Standard Contractual Clauses and their UK and Swiss equivalents.
Advertising, cookies, and similar technologies
Third-party advertising scripts are disabled while review and consent configuration are incomplete. If advertising is enabled on eligible public content later, approved partners such as Google may use cookies, web beacons, IP addresses, or other device and browser identifiers to deliver and measure ads, prevent fraud, limit repeated ads, and personalize ads where the user has provided any consent required by law.
Learn how Google uses information from sites and apps that use its services on Google's partner-sites information page.
Before serving personalized ads in the European Economic Area, United Kingdom, or Switzerland, Robotutor will use Google's consent tools or another Google-certified consent management platform where required. Authenticated learning, account, legal, support, and error pages are not intended as advertising inventory. Advertising consent is a separate control and is not part of account acceptance.
Your choices
To request account help, deletion, export, or a privacy review, email support@precision-learning.org.
Account deletion and de-identified learning records
You can permanently delete your account from Account settings after canceling any active subscription. We remove account, login, profile, session, answer, saved-question, acceptance, and learner-progress data. Deleting a learning track is different: it does not delete your learning record. The answers, grading, feedback, and progress from that track stay with your account, so a later track on the same subject can build on them, and they are deleted when you delete your account. Before removal, we may retain non-identifying question metadata and aggregate usage records; free text, account, session, device, network, and learner-answer data are excluded.
Data deletion for Facebook Login: to delete your Robotutor account and all data we received from Facebook, open Account settings and choose Delete account, or email support@precision-learning.org from the address on your account and ask us to delete it. Removing Robotutor in Facebook's Apps and websites settings stops future sharing but does not delete your Robotutor account.
Adult consumer accounts
Consumer accounts are for people who are at least 18 and have reached the age of legal majority where they live. Robotutor does not currently offer child accounts or accept school or parental consent for consumer accounts. Contact us if you believe an ineligible person provided personal information.
Policy changes
We will post updated versions here with a new effective date. If a material change requires notice or consent, we will provide it in the service or by another appropriate method before the change applies.
